Redefining marketing for Associations: Tuesday 5th July

The Associations Forum aims to encourage best practice for associations to foster good governance within the sector. Last year I was invited to conduct a workshop for members of the Forum, exploring the role of marketing within associations.

This year I will be presenting a plenary session on the role of marketing at the 2016 Associations Forum National Conference. This session will explore the role of marketing within associations, identifying the need for good marketing governance and defined how outcomes can be measured through a strategic approach.

The Associations Forum National Conference will be held at the Melbourne Exhibition and Convention Centre, Redefining Marketing: Metrics and Marketing Performance for Associations is a plenary session opening the conference on Tuesday the 5th of July.

Marketing Governance: Mitigating reputational and financial risks

Good governance needs to underpin all aspects of a business or organisation and this holds true for marketing. Unfortunately, marketing governance tends to be substantially underdeveloped, with blurred responsibilities and a lack of sufficient oversight.

The most evident examples are seen in social media, where a lack of oversight and a failure to link execution with strategic direction, has resulted in significant public mistakes by businesses (including large businesses like Woolworths and McDonalds), as well as not-for-profit organisations (as evidenced through the failed YourTaxis campaign).

Marketing Governance defines the roles and responsibilities of the marketing function, by considering three core elements:

  1. Level 1: Executive – Leadership and Direction – Marketing leadership and strategic direction needs to be established at an executive level. This is often the Chief Marketing Officer and the Executive Team, or a combination of the board and Executive Officer within not-for-profit organisations. The strategic marketing direction needs to be consistent with the organisation’s vision.  In particular, the entire marketing mix needs to be considered, to ensure that marketing has visibility and suitable influence across the organisation. Suitable structures should be developed to support the need for marketing to be integrated into other business areas.
  1. Level 2: Management – Accountability and Oversight – Management is accountable for delivering the strategies that will achieve the goals established through the marketing plan. Management should determine the appropriate activities and tactics (within budget and resource parameters) that will collectively achieve the identified direction. Management is responsible for oversight across these activities to ensure consistency and to evaluate results. Management should be empowered to not only measure marketing performance, but to adjust these activities if the expected outcomes are not being realised. As a result, management must be able to measure marketing performance and be fully aware of the customer journey and sequencing that is required to motivate action.
  1. Level 3: Implementation – Execution – Execution is where relevant marketing tactics are undertaken based on the decisions made by management. The execution layer can involve internal teams, external partners or a combined approach, but should always have a clear understanding of the outcomes required. It is imperative that execution activities are briefed correctly and that inputs and outputs are not mistaken for marketing outcomes. Management needs oversight over execution to ensure that outcomes are consistent and delivering anticipated results. Measuring marketing performance enables adjustments and to ensure that all execution elements are working as intended.

Marketing Governance is an area that is far too often overlooked, but is required to ensure the evaluation of marketing performance and to reduce reputational and financial risk.

Marketing, as a function, and organisations overall, need to develop capabilities in marketing governance so we can finally see an end to mistakes that never should have occurred in the first place, had oversight and direction been suitably established.

Governance Mentors is an innovative not-for-profit enterprise that has been developed by Volunteering Western Victoria to build community through governance mentoring.

Mentors have been recruited in both the Wimmera and Melbourne. The first Governance Mentors breakfast provided an opportunity for regional mentors to learn more about the Governance Mentor website and also provided an opportunity for networking.

As a part of our engagement with the social enterprise, we developed a website that provides mentors with resources and a discussion forum they can use while mentoring community organisations. This enables mentors to connect with one another, forming a network built around fostering good governance.

The event was well received with mentors learning about new developments and gaining insight into the new website.

Governance Mentors – now seeking organisations

Governance Mentors is an innovative not-for-profit social enterprise that builds community through governance mentoring. The social enterprise was formed by Volunteering Western Victoria and is delivered in partnership with Eastern Volunteers and Volunteer West.

Governance Mentors involves the matching voluntary mentor with a community organisation over a twelve month time frame. During this time the mentor will support the committee of management by providing advice on good governance practices.

Mentor training has commenced, and Governance Mentors is currently seeking organisations that would like to participate in the program with the aim of strengthening governance.

A mentor will not take the place of a committee member, but instead will provide advice in an advisory capacity on good governance practices. Similarly, rather than providing one-off training, Governance Mentors aims to foster ongoing learning and development through mentoring.

The program is available for both staffed and unstaffed organisations. A Program Coordinator will match mentors with complementary skills to the identified needs of a community organisation.

Second Training Session for Governance Mentors

Governance Mentors, an initiative of Volunteering Western Victoria, is a new social enterprise that has been developed to provide community leaders with the opportunity to mentor community organisations, to deliver good governance.

We have been assisting Volunteering Western Victoria in implementing a marketing plan for Governance Mentors. As part of this implementation process, I have become the Melbourne Program Coordinator, to test the scalability of the social enterprise and its ability to achieve its aims.

As the Melbourne based Program Coordinator, it has been my role to help find and match mentors with potential organisations. In addition, I provide ongoing support to ensure that mentors and organisations are achieving positive outcomes.

The second training session for Governance Mentors was held in Horsham, with a second group of mentors now ready to support community organisations.

Training enables mentors to reinforce their knowledge on their role and the program. Mentors were encouraged to learn from one another and share the experiences they have in working and volunteering for community groups.

Our marketing plan identified the need to develop the narrative of Governance Mentors, explaining the importance of good governance and the outcomes that will be achieved. We undertook video interviews with mentors and other stakeholders to gain an insight into the program.

Governance Mentors – Inaugural Training

Governance Mentors is a new initiative developed by Volunteering Western Victoria. The program aims to strengthen the capacity of the not-for-profit sector, by pairing mentors with community organisations.

The program has been developed over the past two years, with a steering group developing a model that incorporates measurement and evaluation. Governance Mentors reached an important milestone, with the first training session being conducted.

We prepared the marketing plan for Governance Mentors, identifying opportunities for growth and development. To support the plan, I participated in the training session, with the aim of becoming a mentor within the program.

The training session guided participants through the practice of mentoring, with a focus on providing advice, and reinforcing good governance principles. A mentor aims to provide advice and assist organisations in working towards achieving their aims.

Unlike other programs, Governance Mentors involves working with boards or the committee as a whole, rather than specific individuals. This approach reinforces good governance by demonstrating the role of the board or committee as the decision making authority. In this regard, mentors are available to provide advice, rather than being nominated board or committee members of an organisation.

The program is being progressively rolled out and demonstrates the ongoing growth of an initiative that is underpinned by a marketing plan.
